eDiscovery and Email Compliance

Today’s professional communication is done mainly through email, both internally and externally. It is a vital communication tool, therefore. Today, it is as legally valid as paper documentation in legal cases, as it is a document that proves what two parties agreed on. It can, therefore, be used as supporting cases. Because of this, it is vital that emails are stored properly and that they cannot be tampered with. This is known as archiving, which has to be compliant with eDiscovery rules. Professionals like Matt Knouff are working very hard to ensure there is an increased understanding of what this is and what it means.

The Need for Email Compliance

Businesses have to have an eDiscovery system in place in which all user activities are logged. These logs should be fully encrypted, so that they cannot be tampered with. If evidence of tempering is found, this can be strong litigation evidence. If any data has been deliberately deleted, then courts may impose fines on them because of not being compliant with modern rules.

What Are the Necessary eDiscovery Factors to Comply With?

Matthew Knouff understands how difficult it can be for organizations to be fully compliant, considering how many emails they receive every day. This can be resolved, however, with a proper eDiscovery solution. To maximize these solutions for compliance, he believes the following elements are of importance:

  1. The system should take an integrated, holistic approach in which the entire process is streamlined and no complications arise. It is likely that additional applications will need to be added at some point. Hence, good eDiscovery systems must be scalable so that future costs can be avoided.
  2. A good eDiscovery tool can manage all types of different data to ensure full compliance, and this data should be stored in the same way, in the same database. Organizations should have to use just one system in order to access all the necessary information, thereby reducing confusing and the chance of human error.
  3. The eDiscovery tool should be able to avoid duplication of data, thereby saving on storage space. It should be able to convert multiple copies into single files, thereby keeping a smooth and organized process.
  4. The service should be structurally designed to ensure processing is spread across multiple points. If only one entry point is available, then indexing and searching processes will significantly slow down.
  5. The overarching aim of these systems is to make it easy to search for things. Hence, the system should be able to find results very rapidly when specific keywords are entered. Exact results should be searchable too, and this should be fully transparent.

If litigation is commenced, cases can be lost completely if it is not possible for one of the parties to provide the evidence that backs up their statements. The result is a loss of money through fines, and a loss of reputation. The latter is difficult, if not impossible, to recover from. By having a proper eDiscovery system in place, the risk of this happening is significantly reduced.

Some Things to Be Aware of with Open Source Archiving Solutions

More and more companies are choosing email archiving solutions, and for good reason. With regulatory compliance, eDiscovery requests, and legal mandates, it is impossible not to have such a solution in place. However, besides the fact that you require some sort of solution by law, the other key element is one of space. There simply isn’t enough space for companies to store every email that comes in!

Thanks to cloud based archive solutions, data mining and knowledge management has also become a lot more efficient. Gone are the days of backup tapes and praying that there wouldn’t be a power outage. Today, even remote employees can access their email in a safe and efficient manner.

Email archiving solutions also offer the convenience of disaster recovery, which is one of the key reasons as to why it has become so popular so quickly. Clearly, these solutions, which are cloud-based, are so much more useful than any other conventional backup solution. And not just that, it is more affordable as well! Add to that the fact that it comes with lots of extra functions, such as automatic spam removal, and you may wonder why you haven’t made the switch yet yourself.

Yet, for all this convenience, there are a couple of things you have to take into consideration.

On Premise or Hosted?

Your first consideration is which model of archiving you want to use – do you want to purchase a device that keeps all your digital information within your premises, or do you prefer to go hosted, meaning that you need a web browser to access it? While on premise may sound more secure to you, as it means you have full control over it, the reality is that this actually isn’t the case. One spilled cup of coffee could ruin it all. Not just that, it also means that you have to build up or retrain your IT staff so that they can manage it. On site solutions, all in all, are incredibly expensive – and they take up space.

When you choose a hosted solution, all your information is stored on someone else’s server. The company you purchase your solution from is responsible for the maintenance and security of that server. They also continuously back up the information so that, should something go wrong, it remains accessible. Furthermore, everything is encrypted, which means only someone with the right credentials is able to access it.

What Are Your Options?

With an increasing number of businesses relying on cloud-based email arching solutions, providers of these solutions have started to work on making the entire experience bigger and better than ever before. Today, you can fully customize your solution to your personal needs, including in terms of storage space and budget. All systems are now designed to be user friendly and completely seamless. They even have search capabilities and indexing functions. Plus, because competition between providers is strong, you should be able to test out some free trials before you decide to sign up.

These Are Most the Most Popular Types of Blogs

You have decided you definitely want to start a blog and have completed a lot of the basics like studied up on SEO, and even met with a local SEO company to discuss hiring them to ensure you write your posts so that you can get preferred placement on search engines. And now you need to decide once and for all what your blog will be about. You have a few choices because there are several topics you know well and others you are passionate about. But what is as important is deciding the exact style of blog you want to create. Here are your options:

Opinion Blog

These are the most popular types of blogs on the Internet. They are all about giving the blog writer (or writers) an outlet to share personal opinions. Opinion blogs often are fronted by a personality or expert type, they focus on polarizing topics, and have their reputation built by their readers and those who oppose their views.

Opinion blogs will mix actual news with opinion and sometimes try to position themselves as news sites, but in reality they only use real news to either prove or further their point of view.  Popular topics for these types of blogs includes: politics, entertainment and sports.

Entertainment Blog

These blogs often elicit the most passion from readers. They revolve around the life of actors, singers, athletes, models, gamers, and other entertainment personalities. Some entertainment blogs may feature this entire group while others only a portion. Some are mostly informational while others claim to be, but are really semi-scandalous.

Whatever the case, the popular ones keep millions of readers entertained, commenting and coming back for more. The common features of entertainment blogs are that they provide the latest updates, gossips and trends in the entertainment world. Some of the most popular are now owned and run by the television networks who want to be active in online communication about of celebrities.

Business Blog

Blogging has become an essential part of many companies marketing strategy and with good reason. A blog gives a company an opportunity to engage its potential customers in a more meaningful and personal way and to provide quick and essential feedback to them quickly. To be most effective, their blog might need to have a focus much broader then the products and services they sell, and include topics that are intimate or crucial to readers. An example may be that a healthy food products company may focus on providing health tips that actually fit outside the areas that their products would be able to affect directly, but the information is delivered under a heading of improving the quality of reader’s lives. Many of these blogs utilize a call to action strategy where readers are invited to try the company’s products and services and plenty of links to related sites that provide additional advice and insight to readers, and offer additional revenue opportunities for the business.

Information Blog

There is a class of blog that is purely information and designed to give readers a deep and sometimes technical understanding of a topic. It may include tutorials and real life scenarios with which the readers can potentially relate to, and utilize for their own benefit. Certain informative blogs even invite their readers to comment and debate on topics, allowing them to share their own knowledge with other blog readers.

Using The Internet To Learn Something New

So, a few months ago I realized that I really wasn’t harnessing the immense power that the internet has, there I was, sat at the computer with a vast amount of capabilities in front of me and all I could think of to do was play retro Sega games, check my Instagram and watch videos of people falling off heir skateboards.

It was at this moment that I made a decision to use the power which the internet has and utilize it to learn something new, two things actually. My choices were that I would learn how to play the guitar and that I would learn all about the Ancient Egyptians, a topic which I have always been fascinated by. If you want to do what I did and learn something new then here are some great ways to do so.

Timing

How much time you will have each day will depend on your own schedule but I would advise that you set a certain of portion of time aside each day and stick to it if you want to get the most out of learning.

Expectations

If it has been a while since you studied then you are going to need to lower your expectations in the first month or two. When you are young, your brain is like a sponge and you can soak up knowledge in no time at all, as the years tick on this can become a little more difficult so bear that in mind when you begin.

Resources

Once you have made the decision for what you will learn about you should spend a good few hours on search engines discovering the best places to get your resources. Wikipedia serves its purpose pretty well but you should never solely rely on this as a factual resource. In fact you should cross reference facts across many different sites to get to the bottom of it.

I like to use the fantastic Great Courses material designed by Thomas Rollins teaching expert and educator who put together this fantastic study material for a wide range of subjects.

YouTube is a wonderful tool as well  if you are looking to pick up a new skill or watch documentaries, my guitar playing has improved greatly in a few short months and that is thanks to the step-by-step guides on the video site. I was also able to find some great footage from inside the pyramids and a mock-autopsy of Tutankhamen on YouTube, this is a great place for reference.

Self Discipline

The final part of learning something new online is to ensure that you are disciplined with yourself around your learning. There is nobody there to tell you what or when to study and for this reason you need to be able to have the commitment and the self-learning abilities to work hard and learn as much as you can all by yourself. Just think of it like this, you are doing this for yourself and if you fail to study or decide to relax instead of learn then the only person that damages is you.

Express Your Creativity On The Internet

The internet is one of the most powerful and intricate inventions of our time, it has the power to connect people from all over the World, it has changed the way in which we live our lives and it is an ever changing landscape of digital technology which enables us to do almost anything that we set our mind to. Despite this incredible power and limitless possibility, I far too often find myself sat on YouTube watching videos of animals fighting, a child biting his brother’s finger or old X-factor auditions when I want to pass some time online.

I decided a couple of months back that I was going to start to use my time online to do something a little more creative than just checking social media and if you want to do the same then here are some great things that you can be doing to express your creativity online.

YouTuber

Why not flip the YouTube camera around and become a star yourself, there are people out there getting millions of views on their YouTube channels, Nigerian pastor and prophet TB Joshua has a channel called Emmanuel TV which has amassed over 700 million views, that is just an example of the success which you can find here. The idea is to be funny informative, thought provoking or altogether weird if you want to find success on YouTube and if you are engaging enough then you could become a star.

Blogging

Blogging is a great way to express your creativity on the internet, you can blog about absolutely anything that you want to and meet people across the web who share your ideas. The beauty of blogging is that it offers absolute freedom and gives you a chance to show off your creative side. In order to gain traffic you should be utilizing social media to grow your blog’s reputation and engaging regularly with readers of your blog. Blogging can be used to share written content, photography, videos and everything in between and it can be a great way to use your time online.

Sell Yourself

If you have a gift for making things then you could be in line to make some money by selling your hand made wares on the internet. Websites like Etsy specialize in the selling of hand-made and unique products and this can be a great place for you to show off what you can do and make some money in the process. Be warned, the bar is pretty high on these websites so you need to be sure that your designs and creations are absolutely on the money, if you sell sub standard stuff then you won’t last very long in the marketplace.

There are many other ways in which you can get creative online, these are just some of the ways that I have been exploring in the past few months, the key is to try something different and stop spending your days on YouTube like I used to.
